1. Who we are
PanPay is the responsible party under POPIA for any personal information collected through this Website. You can contact our Information Officer at hello@usepanpay.org.
2. What we collect
From visitors and people who contact us through the Website, we typically collect:
- Contact details you give us — name, company, email address, phone number.
- Message content — anything you choose to tell us by email or phone.
- Technical information — IP address, browser type, device type, pages visited, and referring URL, collected automatically by our hosting and analytics tools.
We do not collect special personal information (such as race, religion, health, or biometric data) through this Website.
3. Why we collect it
- To respond to your enquiry and arrange a conversation.
- To send you information you have specifically asked for.
- To operate, secure, and improve the Website.
- To comply with legal and regulatory obligations.
We will not use your information for marketing without your consent, and we never sell your personal information.
4. Legal basis
We process personal information on one or more of the following bases recognised under POPIA: your consent, the performance of a contract or steps taken at your request before entering one, our compliance with a legal obligation, and our legitimate business interests (provided these do not override your rights).
5. Who we share it with
We share personal information only with parties we genuinely need, including:
- Trusted service providers who help us run the Website and our business (for example, cloud hosting, email delivery, and customer relationship management).
- Professional advisers — auditors, lawyers, accountants — under a duty of confidentiality.
- Regulators, courts, or law enforcement where we are legally required to do so.
Some of these providers may store data outside South Africa. Where that happens, we ensure the country has an adequate level of protection or the provider is contractually committed to standards equivalent to POPIA.
6. How long we keep it
We keep personal information only for as long as we need it for the purpose for which it was collected, or as required by law. Enquiry messages are typically kept for up to 24 months unless you become a customer, in which case retention is governed by our customer agreement.
7. How we protect it
We use technical and organisational measures appropriate to the risk, including encryption, access controls, employee training, and regular security testing. See our Security page for more detail.
8. Your rights
Under POPIA you have the right to:
- Be told what personal information we hold about you.
- Ask us to correct or delete information that is inaccurate or no longer needed.
- Object to processing on legitimate grounds.
- Withdraw consent (where processing is based on consent).
- Lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).
To exercise any of these rights, email hello@usepanpay.org.
9. Cookies
The Website uses a small number of cookies, limited to what is needed to make the site work and to understand, in aggregate, how it is used. We do not use advertising cookies. You can disable cookies in your browser settings; the Website will continue to work.
10. Changes
If we make material changes to this notice, we will update the effective date at the top and, where appropriate, notify you directly.
